Reporting 2025 at HAW Hamburg: Information about the survey and data protection
information according to Art. 13 GDPR, including information about the rights
of survey participants and consent to participate in the survey
Explanation of the Survey
The Health
Reporting (German: Gesundheitsberichterstattung, abbreviated GBE) 2025 is being
conducted at HAW Hamburg by the project team of the University Health
Management (German: Hochschulisches Gesundheitsmanagement, abbreviated HGM).
The purpose of
Health Reporting 2025 is to analyse and describe the health status of students
at HAW Hamburg, significant influencing factors, and individual resources. In
areas where a need for action becomes apparent, the GBE can provide detailed
insights and/or in-depth analyses.
This survey
includes questions about your well-being and current health status, as well as
questions regarding study conditions. By participating, you help us understand
how you are doing and provide insight into student health behaviour, subjective
health, study conditions, and personal resources for studying at HAW Hamburg.
The goal of the
survey is to derive supportive structures and services for you and future
students so that everyone can study in good health. Therefore, the survey is
aimed at all students of HAW Hamburg. It seeks a general picture, so your
responses will be collected anonymously: your answers cannot be traced back to
you personally.
This also
applies to the participation in the raffle: As a thank you for taking part in
the survey, there will be a raffle at the end of the survey. Various prizes
will be raffled among all students who complete the survey and then enter their
email address. The raffle and email address submission take place separately
from the survey, meaning your survey responses will be stored separately from
your email address and cannot be linked. The raffle will take place after the
data collection period.

Relevant
Information on the Processing of Personal Data and the Purpose of Processing
The following
personal data are collected in the study:
Age, gender,
semester affiliation, department affiliation, migration background, family
responsibilities, degree of disability, relocation from abroad for studies, and
whether it’s a Bachelor’s or Master’s degree.
All data are
collected and stored anonymously, i.e., without names, email addresses, IP
addresses, or other personally identifiable characteristics. The collection of
demographic data follows the principle of data minimization. It is not possible
to trace the data back to individuals.
The Health
Reporting 2025 is conducted anonymously. In anonymization, all personal
characteristics are removed or altered such that tracing them back to your
person is no longer possible. Anonymized data no longer fall under the
provisions of the GDPR.
The purpose of
data collection is to establish a comprehensive data basis for future
health-promoting design and planning of measures within the University Health
Management (HGM) at HAW Hamburg. Furthermore, the renewed health reporting 2025
enables the acquisition of cross-sectional data compared to the health report
from 2022.
Handling of Free Text Responses
Free text
entries are possible for questions regarding gender and experiences of
discrimination. All data are collected and stored anonymously. Data analysis is
conducted at the group level using SPSS (means, frequencies). For privacy
reasons, responses from groups with fewer than 10 individuals will not be
analysed, so individual identification will not be possible, and data will not
be personally attributable.
Persons involved
in data processing are not permitted to process personal data without
authorization. All individuals involved in the research project are bound to
the data protection concept and confidentiality. This obligation continues even
after the individuals leave the research team, meaning they are still required
to maintain confidentiality regarding the data processed here.
Legal Basis
The legal basis
for the data processing described here in the context of Health Reporting 2025
is consent pursuant to Art. 6 para. 1 lit. a GDPR.
Recipients of Data / Data Transmission
The data is
collected via SoSciSurvey.de, where it is temporarily stored on the server (Privacy Policy SoSciSurvey).
The server is
hosted in the data center of M-net Telekommunikations GmbH and is ISO27001
certified. The data can be deleted at any time by the HAW project management.
The collected
data is stored on the HAW Hamburg server by the project team in accordance with
good scientific practice.
Duration of Storage
The anonymized
data set will be stored on the HAW Hamburg server for ten years.
By default, data
is archived by SoSciSurvey for a period of 3 months if no login by the project
management occurs. During archiving, all data is deleted, and the questionnaire
is archived as an XML file.
No data for
which we are legally obligated to forward or retain for tax or commercial
purposes is collected from survey participants.
